Effective Date: October 29, 2026
Welcome to The BetterMind Labs ("Company," "we," "our," or "us"). These Terms and Conditions govern your use of our website and participation in our AI/ML educational cohorts ("Services").
By accessing our website or enrolling in a cohort, you agree to be bound by these Terms. If you do not agree, please do not use our Services.
Our programs are designed for middle and high school students. A student under 18 may enroll only with the knowledge and consent of a parent or legal guardian, who is responsible for the student's participation and agrees to these Terms on the student's behalf.
We do not knowingly collect personal information directly from a child under 13 without verifiable parental consent. Students under 13 may only be enrolled, and accounts for them created, by a parent or legal guardian. See the Privacy Policy for details.
Enrollment is confirmed only upon full payment. Seats are limited and allocated on a first-come, first-served basis.
Fees are stated in the currency shown at checkout and may exclude taxes or bank and payment-processor charges, which you are responsible for. Refunds are governed by our Refund Policy, which forms part of these Terms. By paying, you confirm you are authorized to use the payment method and agree not to initiate a chargeback without first contacting us to resolve the issue.
You are responsible for keeping your login details confidential and for all activity under your account. Accounts are personal and may not be shared or resold. Tell us promptly if you suspect unauthorized use.
You can create an account and sign in with an email address and password, or with a Google or Microsoft account. If you use Google or Microsoft, you remain responsible for keeping that account secure, and your use of it is also governed by that provider's own terms. We never see your Google or Microsoft password. How we handle the information we receive from them is described in our Privacy Policy.
We may reschedule sessions, change mentors, adjust curriculum, or move sessions online when reasonably necessary. If we cancel a cohort entirely, we will offer a transfer to a later cohort or a refund of fees paid for that cohort. Events outside our reasonable control (such as outages, illness, severe weather, or government action) do not make us liable for delay or non-performance.
Live sessions may be recorded for quality, safety, and so enrolled students can review them. Recordings are made available only to participants and staff, and are retained as described in our Privacy Policy. Participants should not record, copy, or share sessions or recordings without our written permission.
You agree to use our Services solely for educational purposes and in compliance with all applicable laws. We reserve the right to suspend or terminate your access for disruptive, dishonest, or abusive behavior.
All course materials, content, and intellectual property provided by The BetterMind Labs are owned by the Company and protected by applicable laws. You may not reproduce, distribute, or use our content for commercial purposes without written consent.
We provide high-quality instruction and guidance, but we make no guarantees regarding admission results, scholarships, or specific academic or professional outcomes. Examples of student projects and outcomes shown on our website are illustrative; individual results vary.
Students own the original work they create in a cohort. You grant us a non-exclusive license to host, display, and use that work, and a participant's name, grade, and photo, to operate the program. We publish a student's identifying details or testimonial on our website, social channels, or marketing only with the permission of the student's parent or guardian (and the student where appropriate), which can be withdrawn by emailing us. Withdrawal does not affect material already distributed.
Students may use AI tools as taught in the program. Work submitted must be the student's own and must not infringe others' rights or misrepresent AI-generated content as human-made where disclosure is expected. We are not responsible for the output of third-party AI tools or for how a school or university treats a student's work.
The Services and website are provided "as is" and "as available," without warranties of any kind to the extent permitted by law. To the maximum extent permitted by law, we are not liable for indirect, incidental, special, or consequential damages, or for loss of data, profits, or opportunities, and our total liability for any claim relating to the Services will not exceed the fees you paid for the cohort giving rise to the claim. Nothing in these Terms excludes liability that cannot be excluded by law.
Our Services may rely on or link to third-party services (for example video conferencing, scheduling, payment, account sign-in with Google or Microsoft, and AI tools). Those services have their own terms and privacy practices, and we are not responsible for them.
These Terms are governed by the laws of the State of New York, USA, without regard to conflict-of-law rules. Before filing any claim, you agree to first contact us at support@bettermindlabs.org and try in good faith to resolve the issue for at least 30 days. Subject to any mandatory consumer rights in your country of residence, disputes will be brought in the state or federal courts located in New York County, New York.
We may update these Terms from time to time. Updates are posted on this page with a revised Effective Date and apply to future use of the Services. If any provision is found unenforceable, the rest remains in effect. These Terms, together with the Privacy Policy, Refund Policy, and Cookie Policy, are the entire agreement between you and us about the Services.

BetterMind Labs ("BetterMind Labs," "we," "our," or "us") is committed to protecting the privacy of students, parents, guardians, educators, and others who interact with our programs and services. This Privacy Policy explains what information we collect, how we use it, and the choices available regarding that information.
We may collect the following information:
1. Student Information
2. Parent or Guardian Information
We may send information regarding programs, events, educational opportunities, and other offerings that may be relevant to you. Marketing communications may be unsubscribed from at any time using the unsubscribe link included in those communications or by contacting us at support@bettermindlabs.org.
3. Communication Information
4. Program, Payment, and Technical Information
5. Account and Sign-In Information
We use information to:
We do not sell, rent, or trade personal information.
We may share information with trusted service providers who assist us in delivering our programs and services, such as communication, payment processing, scheduling, operational support, and related functions.
These providers are permitted to access information only as necessary to perform services on our behalf and are expected to maintain appropriate confidentiality and security measures. Providers include, for example, Google (Workspace and Meet), Google and Microsoft (account sign-in, described below), Cal.com (scheduling), YouTube (video embeds), payment processors, and email and AI service providers.
We may also disclose information when required by law or legal process, to protect the safety of students or others, or in connection with a merger, acquisition, or sale of assets, in which case the information stays subject to this policy.
You can create an account or sign in with your Google account or your Microsoft account instead of choosing a password. This section explains what that involves.
What we receive. When you choose Google or Microsoft, you are sent to that provider to sign in and approve our request. The provider then tells us:
We do not receive your Google or Microsoft password. We do not request access to your email, files, calendar, contacts, or any other data in your Google or Microsoft account, and we do not store your profile picture.
How we use it. We use this information only to:
We do not sell this information, use it for advertising, or use it to develop, improve, or train generalized artificial intelligence or machine learning models. We do not share it with anyone except the service providers described in this policy and where the law requires.
BetterMind Labs' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Which account we use. If someone has already registered with the same email address and the provider confirms that the address is verified, we link the sign-in to that existing account rather than create a second one. If the provider does not confirm the address, we do not use it to sign you in.
Your choices. You can stop using Google or Microsoft sign-in at any time. You can remove our access in your provider's settings (Google: myaccount.google.com/permissions; Microsoft personal accounts: account.live.com/consent/Manage; Microsoft work or school accounts: myapps.microsoft.com). To have your BetterMind Labs account and the information we received from the provider deleted, contact us at support@bettermindlabs.org.
The provider handles your information under its own privacy policy (Google: policies.google.com/privacy; Microsoft: privacy.microsoft.com/privacystatement), and it learns that you signed in to BetterMind Labs. We keep the information we receive for as long as your account exists, unless you ask us to delete it sooner.
We implement reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, disclosure, alteration, or destruction.
Access to personal information is limited to authorized personnel who require access to perform their responsibilities.
While we take reasonable measures to protect information, no method of electronic transmission or storage can be guaranteed to be completely secure.
If required by applicable law, we may notify affected individuals and relevant authorities in the event of a security incident involving personal information. We will take reasonable steps to investigate, contain, and address such incidents.
We retain personal information only for as long as reasonably necessary to:
Session recordings are kept only as long as needed for the cohort and a reasonable review period afterward. Personal information collected from a child under 13 is kept only as long as reasonably necessary for the purpose it was collected.
When information is no longer required, we take reasonable steps to delete or securely dispose of it.
BetterMind Labs works with students and takes children's privacy seriously. We follow the U.S. Children's Online Privacy Protection Act (COPPA) and its rules.
Our website is directed to parents, guardians, and students. We do not knowingly collect personal information from a child under 13 without first obtaining verifiable parental consent. Students under 13 are enrolled through a parent or guardian, who provides the consent and the contact details.
For children under 13 we collect only what is reasonably necessary to deliver the program (such as name, grade, program activity, and work submitted), use it only for that purpose, and do not use it for advertising or sell it. We do not require a child to provide more information than is reasonably necessary to take part.
Google and Microsoft accounts are generally available only to people who meet the provider's minimum age. Sign-in with Google or Microsoft is therefore intended for parents and guardians, and for students who are old enough to hold such an account. A student under 13 is registered by a parent or guardian.
A parent or guardian may at any time review the information we hold about their child, refuse further collection or use, and ask us to delete it by contacting support@bettermindlabs.org. We may need to verify identity first. If we learn we collected information from a child under 13 without valid consent, we will delete it promptly. Please contact us if you believe this has happened.
Subject to applicable law, individuals may request to:
Depending on where you live (for example California, the European Economic Area, the United Kingdom, or the UAE), you may have additional rights under local law, including to object to or restrict processing and to complain to your data protection authority. We do not sell or share personal information for cross-context behavioral advertising. We respond to requests sent to support@bettermindlabs.org within the time required by law.
We may send information regarding programs, events, educational opportunities, and other offerings that may be relevant to you. Marketing communications may be unsubscribed from at any time using the unsubscribe link included in those communications or by contacting us at support@bettermindlabs.org.
BetterMind Labs is based in the United States and serves families worldwide. Personal information may be processed and stored in the United States and other countries where we or our service providers operate, which may have different data protection laws than your own. By using our Services you understand your information may be transferred there, and where required we use appropriate safeguards.
We take reasonable measures designed to protect personal information and maintain appropriate safeguards when handling such information.
We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal obligations.
Any updates will be posted on this page along with the revised "Last Updated" date. Where a change materially affects how we handle children's information, we will notify parents or guardians directly.
